  Content source-of-truth for the RPlay Outlook marketing site, written in
  the RPlay "Frontdesk" v1.3 chassis format. Serves three consumers:
    1. The design agent — builds the site from these card blocks.
    2. The RPlay embed widget — parses each `## Title {#card:id …}` heading
       into a shortcut-bar card and grounds chat/voice answers in the prose.
    3. External LLM crawlers (the /llms.txt convention).

  THEME (decided 2026-05-29 — supersedes the older 4-colour-canon note)

  Reuse the RPlay Outlook REDESIGN tokens: deep navy canvas #020617, ONE
  green per theme (mint #2DD1A7). The 4-colour CARD-ACCENT canon is KEPT
  for per-card chrome (mint · cyan #52D3FF · violet #7A4EFF · amber #F59E0B),
  but the Home/Send orb gradient drops the old blue stop (#2A8CFF) — orb =
  mint→cyan→violet. Voice live = mint→violet. No blue orb gradient anywhere.

RPlay Outlook is deliberately small — a few focused tools, nothing to configure. Add it to Outlook once and it sits in your ribbon; open any email and it works on exactly that message. Every action is one tap or one sentence — no setup project, no manual.

**Reply** — Speak (or type) your intent and watch the draft build live, **in dozens of languages**. The tone switches automatically by recipient domain (informal for known domains, formal for external). Quick chips refine it: Shorter · Formal · Longer · Redo. One click inserts the draft into your reply.

**Analyse** — Make sense of an email in seconds: a summary in your language (with Translate and a sentiment/urgency badge), an actions checklist and detected dates. **Chat with the attachments** too — ask a question about a PDF or Word file and get a straight answer.

**Knowledge** — Your own FAQ (question-and-answer pairs with links) and a Glossary of proper names. When an incoming mail matches one of your FAQs, the answer is woven into the draft automatically — your knowledge, in your replies.

**Auto contact capture** — RPlay pulls contact details (name, email, phone) out of your incoming emails so you don't have to retype them. On by default; switch it off anytime in Settings.

Powered by **Groq** (speech-to-text) and **Cerebras** (drafting) — two of the **world's fastest AI engines** — so your draft appears in seconds.

- **No mailbox access** · RPlay works only on the single email you've opened — it can't reach the rest of your mailbox, and there's no mailbox-wide permission to grant.
- **Your mail is never stored** · Your transcript and the draft are used in the moment, then gone. Only your own settings — glossary, writing styles, prompts, FAQ and any contacts you capture — are saved.
- **Sign in without IT friction** · Sign in with your Microsoft account — no mailbox grant. In locked-down organisations a one-time app approval may be needed.

1. **Open Get Add-ins** — In Outlook, open **Get Add-ins** and search for **RPlay**.
2. **Install** — Add it, and RPlay appears in your ribbon (new Outlook and Outlook on the web).
3. **Sign in** — Sign in with your Microsoft account. Your account is created automatically and your **14-day free trial** starts — no card required.

**Acceptance.** By installing or using RPlay Outlook ("the Service"), you agree to these Terms. If you do not agree, do not use the Service.

**The Service.** RPlay Outlook is a voice-first Microsoft Outlook add-in that helps you draft replies, analyse messages and reuse your own FAQ knowledge. It works only on the email you have open and does not access the rest of your mailbox.

**Subscription & billing.** RPlay Outlook costs **€6.99 per month**, VAT included, after a 14-day free trial. Payments are handled by our payment provider, Paddle. You can cancel at any time; access continues until the end of the current billing period.

**Your content.** You keep all rights to your email content. The Service processes the open email in the moment to produce a draft or analysis and does **not** store your email content (see the Privacy Policy). You are responsible for reviewing every draft before you send it.

**Acceptable use.** Don't use the Service unlawfully, don't attempt to disrupt or reverse-engineer it, and stay within the fair-use limits described on the Pricing page.

**Availability & changes.** We aim for high availability but provide the Service "as is", without warranties. We may update or change features over time.

**Liability.** To the extent permitted by law, RPlay is not liable for indirect or consequential damages, or for content you send using a draft produced by the Service.

**Governing law.** These Terms are governed by Belgian law.

**Scope.** This policy explains how RPlay Outlook handles your data.

**What the add-in accesses.** Only the single email you have open at the time, so it can read it and write a draft. It cannot access the rest of your mailbox.

**What we store.** Your account (name, email and Microsoft account identifier); your own settings — glossary, writing styles, prompts and FAQ; any contacts RPlay captures from your emails (a feature you can switch off in Settings); and usage and billing records.

**What we never store.** Your email content. Transcripts of what you say and the drafts we generate are processed in the moment and then discarded.

**AI providers (sub-processors).** To turn your voice into a draft we use **Groq** (speech-to-text), **Cerebras** (drafting and analysis) and **OpenAI** (FAQ matching). Hosting and storage use **Netlify** and **Neon**; billing uses **Paddle**. These providers process inputs only to deliver the Service and **do not train on your data**. Where a provider is outside the EU, transfers are covered by Standard Contractual Clauses.

**Security.** Data is encrypted in transit and at rest.

**Retention.** We keep your account and settings while your account is active and delete them on request or after cancellation (subject to legal record-keeping for billing).

**Your rights.** You can request access to, correction of, export of, or deletion of your personal data at any time.
